Outlook 2007 can manage all your email accounts for you, becoming one central place to work with all your messages. It does, however, add some complexity in that you need to know which account any given message came in on or will be sent out on. The rest of this article explains how you do this.

When you Receive Messages

Let’s talk about how Outlook receives and manages messages from more than one account at a time. Outlook will automatically checks each email account (the settings in your Send/Receive groups determine when). Messages from most types of email accounts end up in the Inbox, while messages from HTTP mail accounts, like Hotmail, end up in their own collection of mail folders.

Wondering how you will know which messages are associated with which accounts? It turns out that’s easy. The Hotmail messages end up in their own set of folders. For the others, if you can’t tell simple by who they’re from, you can look at the To: field of the message. The email address the sender addressed it to appears here.

Except when it doesn’t. Sometimes you’ll see a nickname instead of the email address in the To: field. If there’s a nickname, following these steps will show you the actual email address associated with that nickname:

Right-click the nickname. In the shortcut menu, click Outlook Properties. In the dialog box, look on the E-mail Addresses tabbed page. This will tell you which address the message was sent to.

Sending Messages from Multiple Accounts

When you are sending messages, you’re in control of which account Outlook uses. Outlook always has a default account for sending messages (usually the first account you set up), but you can tell Outlook to use a different account. Here’s how it works:

When you create a new message, Outlook assumes you’ll want to use the default account to send it (I’ll tell you how to change the default account in a few minutes) unless you specific a different account. If you are replying to a message, Outlook uses the account that the message came in on. In other words, if you receive a message sent to your account named xyz@mymailserver.com, and you clicked Reply or Reply to All, Outlook would assume you want to send the reply using the xyz@mymailserver.com account. Unless, of course, you tell Outlook to use a different account. When you forward a message, Outlook will assume you want to do so using the same account as the original message.

The way Outlook selects the account to use makes great sense, but what if you don’t want to use the account Outlook thinks you want to use? How do you tell Outlook to use a different account? That’s easy.

You tell Outlook which email account to use when you have the message window open. When you have multiple accounts set up, you will see an Account button below the Send button. Click the Account button, and Outlook will display a menu containing all your e-mail accounts. Select one, and Outlook uses that one to send your message.

Changing the Default Account

You may sometimes decide that you want Outlook to use a different email account as your default. If you want to change the default, follow these steps:

Go to the main Outlook menu and click Tools > Account Settings to open the Account Settings dialog box. On the E-mail tabbed page of the Account Settings dialog box, find the box listing all your email accounts. Click the account you want to make your new default account. In the space above the account list, find and click Set as Default. Outlook dims this option until you select a new account to use as the default. The list rearranges itself so the new default option appears at the top of the list. Click Close.

Once the documents are in your computer then you can give access to the offshore vendor to view the PDF documents or they can retrieve it from your computer to perform their work in the offshore location.

Most of small businesses already have a scanner, if not a scanner (scanning software comes with the scanner) can be purchased for less than $1000.00. The cost of the scanner will go up based on the volume of accounting and financial documents to be scanned in a given day. It will be a one time cost for the small business and also by scanning all their paper based accounting documents; you can improve the efficiency of overall accounting process.

3.2. High speed Internet Connection Cost

You need to have high-speed Internet connection to send and receive the work to and from offshore location. Again all most all small businesses already have DSL/T1 Internet connection if not they can get a DSL Internet connection for $60-100/month.

3.3. Secure FTP software

If small businesses are using Application Service Provider (ASP) like Quickbooks online, cpaasp.com, etc, then it is possible for offshore vendors to directly access your accounting data directly from the ASP vendor. In this case there is no need to use secure FTP software.

3.4. Backup Server

Once small businesses start digitizing their accounting documents for their offshore vendors, they need to start planning for the backup server to backup all their accounting documents. Most of the small businesses will have this feature already, if not it is a good investment to have a backup server to backup all their accounting and financial data from their main computer to the backup server. For any business “Business continuity” is a vital task and the backup server will help the small businesses to recover all the accounting data in case of main computer failure.

3.5. Additional Accounting software License cost

Small businesses use various accounting software packages like QuickBooks, MYOB, Microsoft Office Accounting etc, for doing all their accounting and financial work. When they offshore the work the offshore vendor will use the same accounting software to do the work. It is very difficult for the small businesses to find an offshore vendor who already owns the licenses for all the accounting software. As described in the offshore accounting models if small businesses decides to use Remote Server or ASP then there is no additional cost for small businesses. On the other hand if the small businesses decided to use Secure File Transfer then small businesses needs to buy additional accounting software license for the offshore vendor to use. Small businesses will incur this cost even if they outsource the work to onshore vendors. This cost is truly soley based on the accounting software package used by the small businesses. Accounting software packages comes with various flavors types of software licenses like concurrent users, fixed number of users, CPU based, Network based etc., Some times small businesses can completely avoid this cost altogether.

4. Managing Financial & Accounting offshore vendor

Once you send your accounting and financial work to the offshore vendor, you need to constantly mange and monitor the quality of finished work that comes back from the vendor. Initially you may need a full-time person educating the offshore accountants and bookkeepers about your accounting process and preparing proper instructions for them to follow in their work. Once you and the offshore team are comfortable in the working relationship then all you need is to verify the work periodically. Basically you need to consider the offshore team as your virtual team and educate them in your accounting processes and procedures, once you are comfortable with their work your own employee(s) will spend less time with the offshore vendors.

5. Offshore vendor wage

For the accounting and financial work performed by the offshore vendor, small businesses will pay either an hourly rate or a monthly rate to the offshore vendor. This will be the actual direct cost small businesses will pay to the offshore vendor and all other costs are indirect cost of sending the work to offshore vendor. Typically the wage cost will be 50-70% less than the cost paid to the onshore accounting and financial vendor. For small businesses this cost savings is one of the major reasons to use the offshore vendor for their financial and accounting work.

Small businesses need to consider several costs in their financial and accounting offshore engagement. Among the monthly cost only the offshore vendor wage is the direct cost paid to the offshore vendor. While performing ROI analysis small businesses must consider all these costs to find the Total Cost of doing business with offshore vendors. As shown in the table, for certain items finding out the exact cost may not be possible and it is highly based on the individual small businesses and the type of accounting and financial work that has been sent to offshore locations. The total cost may not be a fixed amount and it can change from month to month. For example in some months there will be more questions from the offshore vendor in clarifications and in other months there will be less questions, this cost will vary from month to month.

New Merchant Account Quick-start Guide for Small Businesses

The process of getting a new merchant account can be pretty intimidating. There’s a lot of information out there about merchant accounts and most people don’t have time to wade through all of it before getting a new account. If you’re that person, this tutorial is for you. If you’re pressed for time, here’s the vital information that you need to know before, during and after you get a new merchant account.

Merchant accounts are very important and we suggest investing the time to learn about them when possible. But for now - this tutorial will get you started down the right path.

Laying the Ground-work:

There’s a lot of competition out there. Use it to your advantage.

The market for new merchant accounts is highly competitive and providers are willing to do whatever they can to get your business. Use this competition to your advantage and get quotes from at least three different providers. Most importantly, don’t be afraid to let each provider know what their competitor is offering. Processing rates and fees aren’t set in stone. Providers can move things around to try and best their competition. Let each provider know what the other guy is offering and you’ll see rates and fees drop.

Not all contracts have a term.

Technically, all new merchant accounts have a contract - it’s the contract term and the cancellation fee that you should watch out for. A contract term is the period in which if you cancel a merchant account, you will have to pay a cancellation fee. Month-to-month merchant accounts without a term can be cancelled at any time without a fee.

Don’t disqualify a merchant account just because it has a contract term. Sometimes imposing a contract term will make it possible for a provider to lower rates and fees or lend a piece of equipment free of charge for the length of the term.

If you do end up considering a merchant account with a contract term, here are a couple of things you should be sure to ask about.



Term Auto-Renewal - Some merchant accounts have language in the contract that automatically renews the contract term if the account isn’t cancelled within a certain timeframe. The cancellation period is usually about thirty day, but all accounts are different.

There’s no guarantee - Merchant account contracts with or without a term don’t guarantee that rates and fees will remain the same. Merchant account agreements have out-clauses that make it possible for providers to change rates and fees so long as they give notice of the changes. The notice of any changes will be posted on your monthly merchant account statement - that’s why it’s so important to read them every month.



You have to pay all rates and fees.

Even though discount and transaction fees account for the majority of credit card processing expense, you still have to pay all the other fees. Keep this in mind when you’re comparing new merchant accounts. Providers know that discount and transaction fees are scrutinize the most by prospective providers and you may not find there’s much of a difference in these fees between providers. However, fees like monthly minimums, statement fees, and other important but less visible fees may vary greatly. When you’re looking for a new merchant account, compare all aspects and fees of the accounts, not just discount and transaction fees.

Equipment doesn’t cost a fortune.

One of the biggest misconceptions about credit card processing is that credit card machines cost a fortune to purchase. That’s just not the case. Very good terminals with thermal printers and other bells and whistles can be purchased new for $400 or less. Wireless terminals and other specialty equipment may be slightly more expensive, but it’s still very reasonable if you find the right provider.

Before jumping into an expensive leasing agreement, shop around for different equipment prices and deals. Many providers even give terminals away with a new merchant account. Sure, you’ll have to give it back if you close the account - but you didn’t have to pay for it in the first place.

When you’re applying for a new account:

There are no hidden fees.

I know it goes against all of the horror stories you’ve heard - believe it or not - merchant accounts don’t have hidden fees. With that said, they do have hard to see, often overlooked fees. Merchant account providers can’t charge you anything that you haven’t agreed to in the merchant service agreement that you have to sign when opening a new account.

When you’re opening a new merchant account, the provider will give you a couple documents to review. The first document is called the merchant service agreement and it’s usually between fifteen and twenty-five pages long. The second document is called the schedule of fees and it’s usually two or three pages long.

Be sure that you receive and review both of these documents very carefully before signing anything. It won’t be the most interesting read that you’ve ever had, but it will be one of the most important. If you’ve unsure of anything in either document, ask the provider for a thorough explanation.

Give thought to your processing volume and average ticket.

When you’re filling-out your new merchant account application, you’ll have to declare a monthly processing volume and an average ticket. The term processing volume refers to the gross credit card sales in a monthly period and average ticket refers to the average dollar value of a credit card sale.

The underwriter at the processor uses these two figures to access the risk associate with your new account. Basically, that means they take these numbers pretty seriously. If you grossly exceed either of these figures once you begin processing, your account may be frozen or even closed.

Declaring processing volume and average ticket is especially difficult if you’re starting a new business and you don’t have prior processing history to look at. In this case, work with your provider to arrive upon realistic numbers and then pad those by 10 or 20 percent to be on the safe side. But again, every business is different so be sure to ask your representative for assistance if you’re unsure.

Once you start accepting cards:

How much you’re charged is determined by how you process transactions and the types of cards that you accept.

It’s a bit of backward terminology, but when a credit card transaction charges at a higher rate - it’s said to have downgraded. The way a transaction is processed and the type of card that’s being processed are the two main reasons why transactions downgrade.

The main types of credit cards that downgrade are:



Business or corporate cards

Rewards credit cards

Government cards

Foreign cards



There’s not much you can do to limit downgrades due to card type because card issuers have strict regulations that bar merchants from discriminating against cardholders because of the type of card that they’re using.

The good news is that you can limit downgrades that are a result of processing errors. Two common and easily corrected processing errors that cause downgrades are:

Failing to clear your credit card batch daily

Credit card batches must be sent to the processor within 24-hours or every transaction in the batch will downgrade. Failing to clear your batch every day can be a very costly mistake. For example, imagine that you’ve processed $8,000 worth of credit card transactions and you forget to clear batch. The next day you send the batch to the processor, but instead of being charged the qualified rate of 1.7%, the transactions downgrade to 2.5%. That’s a difference of $64 just for not clearing your batch in the allotted time.

Providers offer something called auto-batch close. As the name implies, this feature will automatically close credit card batches when there are transactions that need to be settled. There’s no charge for this service and it will help you avoid expensive downgrades.

Punching-in transactions on a card-present merchant account

If your merchant account was issued under the assumption that you’ll be processing transaction when the credit card and the customer are present, you were given what’s called a card-present account. Card-present accounts have lower rates when you’re swiping credit cards, but all transactions that are manually entered will automatically downgrade.

This is a common problem for retail businesses that also process catalog of Internet orders through the same machine. All keyed-in transactions will downgrade to a higher rate. The solution to this problem is to open a card-not-present merchant account.

Chargebacks are serious business

A chargeback occurs when a cardholder contacts the issuer of their credit card to dispute a transaction. When this happens the merchant that made the charge will get a notice regarding the dispute. If and when a chargeback happens to you, it’s very important to deal with them quickly. Merchants are given a limited amount of time to respond to a chargeback dispute. If the window of opportunity passes, the cardholder automatically wins the dispute.

Ignoring the fact that chargebacks are very costly, excessive chargebacks may result in your merchant account being terminated.

The best way to protect you business from chargebacks is to stop them before they happen. To do this, create a chargeback prevention plan and be sure to follow it for every transaction. When you do receive a chargeback notification, deal with it immediately.

Scrutinize your merchant account statements

For many businesses, credit card processing charges account for a significant portion of monthly operating expenses. This is reason enough to read your processing statements every month. Statements are confusing and it takes time and effort to learn to read properly - but you can’t afford not to!

If you throw your processing statements in a pile each month - stop! Open the statement every month and scrutinize the charges. If you’re not sure how to decipher the statement, call you’re provider and ask them to explain everything in detail.

Don’t forget your processing volume and average ticket

This can’t be stressed enough. Grossly exceeding the processing volume of average ticket amount that you declared on your merchant account application can result in your account being close and your funds being frozen. If you need to, write these figures down and post them where you can see them when charging credit cards.

Accounting Standards: Follow the Magical Accounting Rules

To make sure that financial statements are easy to understand, there is a set of rules and practices that is established, which is known as the generally accepted accounting principles (GAAP). This has been developed to provide a basic guideline for the rules of accounting because I think it’s fair to say that it can get confusing at times. There are a lot of variations to the meaning so here is the best answer.  It’s the generally accepted accounting rules and procedures that are necessary to define accounting practice. Basically it’s a set of theories that accountants come to accept, and there are always controversies with some methods between accountants like any other field of study.

Accounting is a discipline that is always growing and changing so it’s a good idea to keep up to date with all of the trends that are going on. Since the management prepares the financial statements of a company it is possible that a financial statement can be altered to give a company a particular boost. So, that’s why the companies that sell their ownership to the public needs to get their financial statements audited by a public certified accountant. A certified public accountant (CPA) are licensed through the sate for the same exact reason lawyers and doctors are, so they and protect the public by providing the highest quality of professional service possible.  The reason why CPAs are used is because they have no connection with the company and are independent. They have zero financing ties with the company.

Some firms that employ a lot of certified public accountants include Deloitte & Touch, KPMG, and PricewaterhouseCoopers. An accountant with no strings attached or is independent commonly performs an audit, which is evaluating a companies financial statements, product, accounting systems, and records.  The main purpose of an audit is to make sure that the financial statements have been properly prepared according to the excepted accounting rules. Keep in mind; since accounting is not a precise science it has room for interpretation according to the GAPP. 

However, that doesn’t mean that the accountants report should contain substantial errors in the financial report, but more like that for the most report it is reliable for creditors to take a look at.  An accountant can make a decision only when the financial statements conform to the guidelines of GAAP.  In the past creditors, banks, and investors tend to favor an auditor when they are deciding to invest in a company or give loans, because of their independence.  The individualistic audit is an extremely crucial factor in the growth of financial markets internationally.

Also, many organizations can directly or indirectly influence a GAAP. The Financial Accounting Standards Board (FASB) is the most critical body for the development and issuing of rules on accounting practice. The website I previously listed is extremely critical and you can attend seminars online for no cost, and also stay up to date with the rules.  This independent body issues the Statements of Financial Accounting Standards. Next, the American Institute of Certified Public Accountants (AICPA) is the official professional association for certified accountants. It’s the largest CPA organization that exists in America and heavily influence accounting practices through its senior committees. 

The Securities and Exchange Commission is the agency of the federal government that legally has the power to set and execute accounting practices for companies that sell security to the public, and it has a large impact on accounting practice.  Next, the governmental accounting standard (GASB) is critical for accounting because its main job is to issue the standards for accounting to the local and state governments in the United States.  However, a lot of these organizations are focused on the rules in regulations in the United States.

There are a lot of businesses and accountants internationally so that’s why the International Accounting Standard Board (IASB) was formed.  It was approved by more then 25 international agencies.  The U.S laws that analyze the revenues for the cost of operating a business can also affect accounting practice. It’s no question that the major provider for income for the government comes from income tax. The income tax rules are heavily applies by the Internal Revenue Service (IRS). Sometimes these rules actually cause a conflict with the accepted rules of accounting. A lot of businesses use accounting practices because it’s a requirement by tax law.  Also, companies can use the rules of tax law to their advantage financially.  Accounting also has laws of conduct for profession, and one extremely important one is ethics.

It touches bases on questions that help determine if something is either right or wrong, and is based on moral decisions. Most people are faced with several ethical issues each day and, and some ethical activities could be on the range of illegal. If a business decides to use false or misleading advertising, or to bribe customers into giving them testimonials for a specific product, then they could be acting in an unethical manner.  The ethics of a company could also be a result of the employees so that’s why it’s always a good idea to run a background check of who you are hiring, whether it’s online or offline.  Professional ethics is the guidelines that apply to the conduct of individuals of a certain profession. 

Similar to the ethical actions of a company, the ethical actions of an individual is a decision.  As being a member of an organization, accountants have to take the responsibility not only to their customers and employers, but also to the general public to act in the greatest ethical way possible. Accountants are very good at following professional ethics because they are the second professional group as having the largest ethical standards, with clergy being the highest, no surprises about that one.  It is important for individuals who decide to become an accountant to have the highest levels of professionalism as possible.

To enforce that its prestigious members are following the rules, the AICPA along with each state have adopted some codes of professional conduct that certified public accountants have to follow.  Some simple rules are being responsible to the people that depend on the trust of accountants, such as creditors and investors. When working with people the accountant must act with integrity which means that they are honest, and the individuals gain from the visit with the accountant. The accountant must display objectivity which means that they are intellectually honest, and they must remain independent which means that they must avoid any relationship with the business or individual because it will damage the accountant’s principles.
